Cookie Order Process – updated 3/07/2012
All additional cookie orders MUST BE placed through eBudde on the transaction tab and picked-up at the location specified in the “#” field of the transaction form.
This year, all locations have a minimum 24 hr. lead time between when orders are placed and picked-up. See the handout: “2012 Additional Cookie Pick-up Locations (more hours)” [Important: Use the most recent version ONLY dated Feb 17th, 5pm].
Update (2/24/2012) Requirement for 24 hour notice from entering order in eBudde to pickup has been suspended for all transactions at all locations! Photo ID required to pick-up cookies.
Note – Please Scroll Down Below for Updated Location Closings & Info (3/07/2012)
We will not be posting the additional location addresses online due to privacy issues.
>>You can also review “eLearning” in eBudde for videos on requesting/placing orders for additional cookies.
Adults picking up additional cookies for their troop will have to provide valid Photo I.D./Driver’s License. License/I.D. numbers will be written on each QB ticket to validate the order was received and identify who picked it up.
- A new updated version of the 2012 Additional Pick-up Locations is in circulation. It’s noted with the date February 17, 2012 and time stamped 5:00 p.m. at the top right-hand corner. Exception: Below you will find updated location availability.
- When troops place transactions to order additional cookies, they should be sure to enter their phone number in the RECEIPT # field. This allows the pick-up location to have a means of contacting the troop in the event the troop needs to be contacted about their order.
Issue: I can’t add cookies to Girls on the Girl Orders Tab
**Note: If you do not already have cases in the booth/extras/other area at initial order on the initial order tab, you will not be able to “add” them to a girl on the girl order tab. You will need to make adjustments to girls and booth or other rows on the initial order tab BEFORE adding boxes to girls in the Girl Order tab. The exception to this is GOC, where you just add a quantity and then are responsible for council proceeds.
Lee’s tip: You will want to make your own color coded spreadsheet, one column for each variety including GOC to make it easier to track girl orders by variety for the Girl Order tab.
Council Tips
- The Girl Order tab is used to assign additional cookies to girls after the initial order period. This tab will not show each variety of cookies to be tracked by girls, since this tab is used to qualify girls for final recognitions – therefore the system is only looking for a total box count for each girl. If troops need to track additional boxes for each girl by variety, they should use the comment field to enter the type of cookie then log the total box count for each in its respective column.
- Having problems saving troop data on this tab…
- >Before they can save their entries, they MUST hit the ENTER key on their keyboard to confirm the information they’ve entered – then SAVE. The plus sign symbol at the bottom right-hand of this screen will only allow the addition of another entry for the same girl – it does not tell the system you have completed all of the entries you will make; that’s what the ENTER key is for.
- By the end of the program make sure troops assign ALL cookies in their inventory. No girl benefits from the troop’s hard work when cookies are unassigned.
Adding Additional Orders in eBudde
Carefully read the “Additional Locations…” document mentioned above to select your cupboard/warehouse (note each one has a #number id), making to order between Monday-Saturday. Orders are wiped on Sunday.
But wait Lee! I want a picture of entering an order on the transactions tab in eBudde! Ok here ya go….

As you can see we are on the Transactions tab in eBudde. Click the “Add a Transaction” button under the tabs. It will open up the window you see above. It selects the date for me. I chose type “Normal”. It automatically creates a Receipt #. Careful! The council eBudde doc shows “Transaction” instead. Enter a phone number in the receipt space. Second Party: I choose “Cupboard” from the dropdown. I put a “9″ in the # field, which is the Game House cupboard in Cherokee County near the Prominence Point shopping center. I have “Add Product” selected since I will be PICKING UP the cookies. I then enter the product I want in number of whole cases. I then clicked on an empty cases field so it finished adding. I clicked Okay to finalize the transaction.
If you get an error and are confused, take a screenshot and email me with exactly what you entered in each field of the form so we can try and help you. Remember – You MUST reserve your order 24 hours in advance. You cannot call or place an order the same day. You cannot just “show up” at a cupboard or warehouse with out a copy of your transaction receipt. Print them out . If you have to, Choose “Print as pdf” stick them on a USB drive, and go to the library to print.
Troop Transfers – Even More Important Additional Order info
Remember you can continue to add new girl orders on your Girl order tab, but you must already HAVE those cookies on hand from your initial order (booth sale cases, etc) or by picking up new cases at a cupboard/warehouse OR doing a troop-to-troop transfer WITNESSED by Lee or Michelle.
